Privacy Policy

EventHora (“EventHora”, “we”, “us”, or “our”) provides software for event organisers to plan, sell entry passes for, and run events. This Privacy Policy explains what information we collect, why we collect it, and the choices you have about that information.

1. Who this policy covers

This policy applies to two groups of users:

  • Organisers— people and organisations who create accounts to host events on EventHora.
  • Attendees— people who register for an event using a public link shared by an organiser.

2. Information we collect

Information you give us

  • Account & profile: name, phone number, and (where provided) email address.
  • Event content: event details, schedules, entry pass types, custom registration questions, partner allocations, and uploaded media (banners, pass designs).
  • Registration data: when you register for an event we collect the answers you provide on the registration form, alongside your name and phone number used for OTP verification.
  • Payment data: for paid events, payment information is collected and processed by our payment partners (Razorpay for card / netbanking and direct UPI for bank-to-bank transfers). EventHora does not store full card numbers, CVVs, or UPI PINs at any time. We retain only the transaction reference, amount, status, and payment method needed to reconcile the booking.

Information we collect automatically

  • Device & usage: IP address, browser type, operating system, page views, and timestamps. Used to keep the service secure and to debug failures.
  • Cookies & local storage: a small set of cookies / local-storage entries are used to keep you signed in and to remember your theme preference. We do not use third-party advertising cookies.

3. How we use information

  • To create and operate your account.
  • To deliver event entry passes, OTPs, and confirmations over WhatsApp (via Meta's Cloud API) and over email (when an email address is provided).
  • To process payments and refunds (where applicable).
  • To let organisers manage their attendees, scan entry passes at the gate, redeem food / drink credits, and view event statistics.
  • To detect, prevent, and investigate fraud, abuse, and security incidents.
  • To meet legal and regulatory obligations.

4. Sharing

We do not sell personal information. We share data only as follows:

  • With organisers: when you register for an event, your registration details are visible to the organiser of that event so they can run the event (issue entry passes, check you in, contact you for updates).
  • With service providers: limited data is shared with payment processors (Razorpay), messaging providers (Meta / WhatsApp Cloud API), and infrastructure providers (cloud hosting, database, file storage) strictly for the purpose of delivering the service.
  • For legal reasons: where required by law, regulation, court order, or to protect the rights, property, or safety of EventHora, our users, or the public.

5. Retention

We keep account data for as long as your account is active. Event, registration, and payment records are retained for as long as the event remains accessible to the organiser, and for any additional period required for tax, audit, or legal purposes (typically up to seven years for financial records under Indian law). You can ask us to delete personal data tied to your account by contacting us at the address below; some records may be retained where we have a legal obligation to do so.

6. Security

We use industry-standard safeguards including TLS in transit, encryption at rest where supported by our infrastructure, scoped access controls, and audit logging on sensitive actions (approve / cancel / refund). No system is perfectly secure; please use a strong password and never share your one-time codes.

7. Your rights

Subject to applicable law, you have the right to access, correct, export, or delete the personal information we hold about you. You can exercise these rights by contacting us using the details below. Where you registered for an event, the organiser may also be a controller of your registration data — please contact them directly for event-specific records.

8. Children

EventHora is not directed at children under 13. We do not knowingly collect personal information from children. Organisers running events that include minors are responsible for obtaining the appropriate parental or guardian consent.

9. Changes to this policy

We may update this policy from time to time. The “effective date” at the top of this page reflects the most recent change. Material changes will be communicated via in-product notice or email where appropriate.
